How to respond to Google reviews, good and bad

Your reviews are read by two groups: the person who wrote it, and every future customer who scrolls past. A thoughtful reply shows both that a real person is paying attention.
You don't need to write much. You just need to reply, consistently and kindly.
Replying to good reviews
A short, specific thank-you is enough. Mention something from the review so it doesn't read like a template.
Thank you, Dana! We loved working on your kitchen cabinets, and we're so glad you're happy with the color. See you next time!
Reply within a day or two when you can. Don't copy and paste the same answer every time. Readers notice.
Replying to negative reviews
A negative review stings, but it's also a chance to show how you handle problems. Wait before you answer, and don't reply while you're angry.
A good reply has four parts:
- Thank them for the feedback.
- Acknowledge what went wrong, without making excuses.
- Say what you'll do, or invite them to contact you directly.
- Keep it short and calm.
Thank you for telling us, and I'm sorry the appointment started late. That isn't the experience we want you to have. I'd like to make it right. Please email me at the address on our profile so we can talk.
Don't argue, don't share private details about the customer or the job, and don't accuse them publicly of lying. Future customers judge you by your tone more than by the complaint.
What if the review is fake or unfair?
If a review clearly breaks the platform's rules, you can report it to Google. Reply politely in the meantime, and say you couldn't find a record of the visit and would like to look into it. Assume good faith first.
Make replying a routine
Set a regular time, such as ten minutes twice a week, to check new reviews and reply. The point is that none sits unanswered for weeks.
Ask for more reviews
A steady flow of recent reviews matters more than a few older ones. After each happy job, send one direct link and ask. Reviews don't guarantee ranking or sales, but they strongly shape whether people choose you.
