Most agents don't lose leads to a competitor's skill. They lose them to silence. A buyer inquires, gets one reply, hears nothing for two weeks, and quietly starts working with someone who stayed in touch.
The fear is being annoying. The answer is to be useful on a steady rhythm, so each message gives the person a reason to read it.
Respond fast, once
The first reply matters more than any later one. Within a few hours, thank them, answer what they asked, and suggest one next step, such as a quick call or a showing time. Keep it short.
A rhythm you can keep
Day 1: Your first reply, as above.
Day 3: Send something useful, such as two or three listings that match what they described, or a short answer to a question they're likely to have.
Day 7: Check in lightly. Ask whether their timeline has changed.
Every two to three weeks after that: Share one relevant thing: a new listing, a market note for their neighborhood, or a simple "how's the search going?"
If someone says they're not ready, thank them and move them to a slower rhythm. Don't drop them. Plenty of buyers and sellers take six months or more to decide.
Keep every message about them
Mention their neighborhood, their budget range or their reason for moving. One specific detail makes a message feel personal and is hard to fake with a template.
Know when to stop
If someone asks you to stop, stop immediately and note it. Respecting that earns you the referral even from people who don't buy.
Past clients are your best leads
After a closing, a short check-in a few weeks later and again around the anniversary of the purchase keeps you in mind. Ask for a review at the closing, when people are happiest, and ask whether they know anyone else who is thinking about moving.
